Privacy policy
How we collect, use and look after your personal information.
Who we are
Maincoms Ltd (company number 07700738) is a business telecoms provider based at 5 Acorn Business Centre, Northarbour Road, Portsmouth PO6 3TH. In this policy, “we”, “us” and “our” mean Maincoms. We are the data controller for the personal information we collect through this website.
If you have any questions about this policy or how we use your information, email hello@maincoms.co.uk or call 0333 358 3000.
What we collect
When you fill in a form on our website, we collect the details you give us, such as your name, company, email address, phone number and message. We may also collect basic technical information when you visit, such as your IP address and browser type, through cookies (see our cookie policy).
Enquiries sent through our forms are emailed to our team and also saved securely in our website’s admin area, which only our staff can access.
How we use your information
- To reply to your enquiry and give you a quote
- To provide and support the services you buy from us
- To keep records needed for accounting and legal reasons
Our lawful basis
We use your information because it is in our legitimate interests to respond to enquiries and run our business, because it is needed to provide a contract you have asked for, or because the law requires it. Where we rely on your consent, you can withdraw it at any time.
Who we share it with
We only share your information where we need to, for example with the networks and suppliers that provide your services (such as Gamma, Yeastar and mobile networks), our IT and hosting providers, Google (for website analytics and spam protection) and professional advisers. We never sell your information.
Spam protection (Google reCAPTCHA)
Our website forms are protected by Google reCAPTCHA v3, which helps stop spam and automated abuse. It works in the background and collects information such as your IP address, browser and device details and how you interact with the page, and sends it to Google to check that the form is being used by a person. We use it because it is in our legitimate interests to keep our website and inboxes secure. Google’s Privacy Policy and Terms of Service apply.
Website analytics (Google Analytics)
We use Google Analytics to understand how visitors use our website, for example which pages are viewed and whether an enquiry form was sent, so we can improve it. Google Analytics only loads, and only sets its cookies, if you accept statistics cookies, and you can change your choice at any time using the Manage consent tab. See our cookie policy for details.
Google may process information from these services outside the UK, using safeguards recognised under UK data protection law.
Our own visitor statistics
Alongside Google Analytics, our website keeps its own simple visitor statistics so we can see which pages are useful and where our marketing is working. These statistics do not use cookies, except the optional marketing cookie described below. We do not keep your IP address: it is held for a few minutes at most while a lookup runs, and after that we only keep a shortened version or a scrambled code made from it.
For each visit we record the page viewed, the website or search engine you came from, the buttons and links you click (such as “Get a quote” or our phone number), the type of device, and an approximate location (town and region) worked out from your IP address using a database kept on our own server. Your visit is linked to an anonymous code that changes every day, so we cannot follow you from one day to the next unless you accept marketing cookies (see below).
If your internet connection is registered to an organisation, such as a company, school or council, we may look up that organisation’s name in public internet registry records (such as RIPE NCC) and note that it visited our website. We may also check the public internet name of your connection (reverse DNS), which for some business connections includes the company’s web address. If you send us an enquiry or support request, we may link the connection you used to the company name you gave, for up to 90 days, so we can recognise later visits from that business. Existing customers may also be recognised from the fixed IP addresses we provide to them. We cannot identify individual people, and visitors using ordinary home or mobile broadband cannot be identified at all. We use this to understand which businesses are interested in our services, because it is in our legitimate interests to do so. These statistics are kept for up to 13 months, are only seen by Maincoms staff, and you can object at any time by contacting us.
Recognising returning visitors (marketing cookie)
If you accept marketing cookies, our website stores a random ID in a cookie called mc_rv on your device for up to 12 months, so we can recognise your browser when you return. If your browser has also visited from a business connection we have identified, we may link your later visits, for example from home, to that business for up to 90 days, so we can see which organisations are interested in our services.
We only do this with your consent, which you can withdraw at any time using the Manage consent tab; the cookie is then removed. We keep the ID only in scrambled form, never with your name or full IP address, and delete visit records after 13 months. See our cookie policy for details.
Information we get from Companies House
When our visitor statistics recognise an organisation that has visited our website, we may look that organisation up on the public Companies House register. From the register we keep the company’s registered name and number, its registered town and postcode, and the names and occupations of its current directors or members. We only send Companies House the organisation’s name, never anything about you or your visit.
This does not tell us who visited our website. A director listed on the register may not be the person who viewed it. We use these details to understand which businesses are interested in our services and who might be the right person to speak to about them. We do this because it is in our legitimate interests, and we have weighed this against the interests of the people concerned: the information is already public, it relates to their business role only, and we only use it for business-to-business contact about our services.
These details are only seen by Maincoms staff. They are refreshed from the register every 30 days and deleted once we no longer hold any visits from that organisation (visits are kept for up to 13 months). If you are a company director and would rather we did not hold or use your details in this way, contact us and we will stop.
Broadband availability checker
If you use the availability checker on our business internet page, the postcode you enter is sent to Ofcom to look up the predicted broadband speeds for addresses in that postcode. We do not store the postcode against your name unless you go on to send us an enquiry.
Where we accept online enquiries from
To cut down on spam, our forms check the approximate country of your internet connection when you send them, and we only accept online enquiries from the UK. If a form is blocked, we keep a short record of the time and a shortened version of the IP address (with the last part removed) so we can monitor spam. If you are outside the UK, please call or email us instead.
How long we keep it
We keep customer records for as long as you are a customer and for up to six years afterwards for legal and accounting reasons. Support requests sent through our website are deleted automatically after six years. Enquiries from people who do not become customers are deleted automatically two years after they were sent. Our own visitor statistics are deleted after 13 months, and details from Companies House as described above.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to ask us to transfer it. To use any of these rights, contact us using the details above.
If you’re unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page. Last updated: 21 October 2026.
